Controlling Work Downpour with Adaptive Processes
It’s not unusual to feel overburdened with work at some point of time in our lives. Being burdened with new tasks while the old ones are still incomplete is one of the primary causes of slow, sluggish, and minimally productive work. Not only does it drastically affect the efficiency of the company, it also kick starts an entire cycle of delayed work where no old task ever gets completed on time for a new task to begin on time.
The one most effective way of eliminating such bottlenecks is having an adaptive process in place that activates on its own in such a situation. Fortunately for us, such processes exist and work just perfectly.
BPM helps check the downpour of work by allowing the tasks to be rerouted to somebody else when one person is already overburdened with work. Innovative techniques like work modeling help identify all sorts of bottlenecks that cause the work to become sluggish and stagnant. Once it is identified where the work is getting stranded, it can be assigned to another person who happens to have the time on hand. For instance, as a result of an effective work modeling technique, you may see that there’s only one business unit manager and all the work being assigned to him isn’t being attended to immediately. Now, once this problem has been identified, it is extremely realistic to have two or three unit managers instead of just one. This way, when one isn’t able to do the job, a second one could kick in and take over the task.
Say, for instance, the second unit manager takes up the task but then isn’t able to do it on time because of another emergency. A well-designed adaptive process will help him reroute the task to another suitable person. Well-automated BPM solutions actually make it possible to simply mark the task to be handled by another person. The business manager who is handing the task over can also leave notes, details, or special remarks if any, that would automatically be e-mailed to the next assignee, making it easier for the new assignee to start seamlessly.
Adaptive processes are extremely helpful in real-life business scenarios where issues like this come up all the time. By controlling work overload, such BPM solutions can effectively maximize efficiency as well as keep the entire workforce happy.
